How Do I Add/Update Bulk Users in Nerdio?


Applies to: Nerdio Private Cloud (NPC) and Nerdio For Azure (NFA) Core, Professional and Enterprise customers 


Most organizations have an IT environment in place before migrating to Nerdio. This IT environment typically includes an Active Directory (AD). Nerdio is always provisioned with a brand new Active Directory forest, fully configured and optimized for a cloud IT deployment. Users can be added to Nerdio AD one-at-a-time using the "Home->Users->Add Users" option, or in bulk using the "Home->Onboard->Bulk user add/update" option. During the onboarding process, an IT Admin will typically export users from an existing AD using the "AD Export" feature and then import into Nerdio AD using the "Bulk user add/update" option.

Steps to add a single user record on NAP

To add a single user on NAP, sign in to NAP as an IT admin and go to "Home->Users-> Add user" option.

If you are adding a user on NPC or NFA Professional or Enterprise account, you will see the screen below:

If you are adding a user on NFA Core account, you will see the screen below:

Note: Since NFA Core account doesn't support desktops, there is no "Desktop" option under the "Add user" menu.

Once you are done entering all the information, click "Save" to save the user details in the Nerdio database.

Steps to add/update bulk users on NAP

If you are an NPC or NFA Professional or NFA Enterprise customer, the easiest way to add multiple users on NAP is by importing a CSV (comma separated values) file. Nerdio provides a sample template to add multiple users to NPC or NFA Professional or Enterprise accounts. Let us look at the steps in detail.

First, sign in to Nerdio Admin Portal (NAP) and navigate to your Nerdio account (say 5104). Expand the menu option "Onboard" and select "Bulk add/update bulk users" option:

You will be directed to the "Bulk add/update users Home page" as shown below:

You can schedule batch jobs via this page to add/update users to your Nerdio account. The batch job expects you to upload a CSV file with user data. Here's a screenshot of a sample file:

Notes:

  • The characters $ (dollar sign) and (   (open parenthesis) are special reserved characters and not permitted to be used in the password field.

  • Nerdio supports the following Microsoft 365 licenses:
    • Business Premium (BP)
    • Enterprise E5 (E5)
    • Enterprise E3 (E3)
    • Enterprise E1 (E1)
    • Email Only (EOP1)
    • Email Only (EOP2)
    • Microsoft 365 Business (MB)

You can view and track the status of your job under "Bulk add/update users job status" tab.

Once you click "Add job" button, you will be directed to the Step1 of "Add bulk add/update users job" page:

  • Enter the job name
  • Upload your user records in a CSV file format (see above)
  • Click the "Next" button once you upload the file to go to step 2

You will be directed to the "Step 2 of Add bulk add/update users job" page as shown below:

Here you can view the summary of your user bulk add/update file. If required, you can click the "Back" button to edit your user file or click "Run" to schedule the bulk user add/update job.

Note:  

  1. The CSV file expects the column headings to be in a certain order and named a certain way
  2. Download the template and do NOT change the column headings (first row) in CSV file
  3. The first column in the file decides if the system should add, update or ignore the corresponding row. So make sure you set the value of the first column correctly. The column headings (first row) also indicate which columns are mandatory. In some cases, the column heading will list acceptable values.
  4. In the above example, we have uploaded a CSV file with existing user records. In the CSV file, the first column was set to "Ignore". As a result, the summary says "We found a total of 17 rows in the CSV file, excluding the header row. There are 0 users to add. There are 0 users to update."

NAP also provides you with a mechanism to add "user groups" and "contacts". Let us explore them.

Steps to bulk add/update user groups to NAP 

On the Accounts page (say 5104), expand the main menu "Onboard" and select "Bulk add/update groups" option as shown below:

Note:

  1. You can make use of "user groups" to apply the same set of permissions or policies across multiple users at once. You can then add or remove users from a particular user group. This feature is useful to manage employees joining or leaving your organization.
  2. The CSV file expects the column headings to be in a certain order and named a certain way
  3. Download the template and do NOT change the column headings (first row) in CSV file
  4. The first column in the file decides if the system should add, update or ignore the corresponding row. So make sure you set the value of the first column correctly. The column headings (first row) also indicate which columns are mandatory. In some cases, the column heading will list acceptable values.

How to bulk add/update your contacts to NAP

On the Accounts page (say 5104), expand the main menu "Onboard" and select "Bulk add/update contacts" option as shown below:

Note: NFA Core account doesn't allow bulk adding of users, user groups or contacts to NAP:

Nerdio Tip
  • It's always a good idea, a best practice, to backup key resources before you do any major IT administration. We recommend you take backups (snapshot or another appropriate form of backup) of your Active Directory server, Microsoft Entra Connect server and your Active Directory (system state backup on a DC).
